Privacy Collection Notice: FP App Fitness & Wellness Content Early Access Program

Thank you for your interest in participating in Fitness Passport's App Fitness & Wellness Content Early Access Program. Before you begin, please read this notice carefully to understand how we will collect, use and protect your personal information during the beta testing period. 

Who is collecting your information? 

Fitness Passport Pty Ltd (ACN 118 246 029) and Fitness Passport NZ Ltd (NZBN 9429047591288) ("we", "us", "FP") are collecting your personal information as part of this early access program. 

Why are we collecting your information? 

We are inviting a limited group of participants to test our new FP App Fitness & Wellness Content Early Access Program before its public release. The purpose of collecting your information is to: 

  • Gather user feedback on app features and usability 
  • Monitor app performance, identify bugs and technical issues 
  • Analyse how users interact with new features 
  • Improve the app's design, functionality and user experience before launch 
  • Test analytics integrations and content delivery systems 

What information will we collect? 

During your participation in the early access program, we will collect: 

Automatically collected information: 

  • Device identifiers (device type, operating system, unique device ID) 
  • App usage data (features accessed, time spent in app, navigation patterns) 
  • Interaction data (button clicks, search queries, content viewed, video watch history) 
  • Technical performance data (crash reports, error logs, load times) 
  • Analytics data collected through third-party services including Segment, Algolia, and potentially MixPanelPostHogStatsig and Google Analytics 

Information you provide to us: 

  • Feedback form responses and survey answers 
  • Bug reports and feature suggestions 
  • Screenshots or screen recordings you choose to submit 

How will we use your information? 

Your information will be used solely for: 

  • Testing and debugging the FP App Fitness & Wellness Content Early Access Program 
  • Analysing user behaviour and engagement patterns 
  • Developing product improvements and new features 
  • Generating aggregated, non-identifiable analytics reports 
  • Responding to your feedback and bug reports 

Who will we share your information with? 

We may disclose your information to: 

Our internal teams: Product, engineering, data analytics and UX/design teams who require access to improve the app 

Service providers: Third-party technology providers who assist with: 

  • Analytics: Segment, Algolia, and potentially MixPanelPostHogStatsig and Google Analytics 
  • Cloud hosting: Amazon Web Services (AWS) 
  • Monitoring and crash reportingDataDog 

These providers are contractually bound to protect your information and use it only for the purposes we specify. 

We will not sell your personal information to third parties or use it for marketing purposes unrelated to the early access program. 

Overseas disclosure 

Your information may be stored on cloud servers located in Australia and Singapore (via Amazon Web Services). Some of our service providers (including Segment, AlgoliaMixPanelPostHog and Statsig) may also store or process data on servers located overseas, including in the United States. 

When we disclose information overseas, we take reasonable steps to ensure recipients comply with the Australian Privacy Principles and New Zealand Privacy Principles, including through: 

  • Standard contractual clauses 
  • Data transfer impact assessments 
  • Vendor security assessments 
  • Regular compliance audits 

However, you may not have the same rights to seek redress in overseas jurisdictions as you would in Australia or New Zealand. 

Data security 

We implement appropriate technical and organisational measures to protect your information, including: 

  • Encryption of data in transit (HTTPS/TLS) and at rest 
  • Access controls limiting internal access to authorised personnel only 
  • Use of pseudonymised identifiers (Cognito User IDs) when sharing data with third parties 
  • No personally identifiable information (PII) transmitted to external analytics services 
  • Multi-factor authentication (MFA) for system access 
  • Regular security assessments and penetration testing 
  • 24/7 monitoring using AWS CloudTrail, AWS CloudWatch and DataDog

How long will we keep your information? 

Information collected during the early access program will be retained for: 

  • Video history and app usage data: 12 months from program completion 
  • Feedback and bug reports: Until no longer required for product development purposes (typically 12-24 months) 
  • Analytics data: According to the retention policies of our third-party service providers (typically 12-24 months) 

After these periods, information will be de-identified or securely deleted unless we are required by law to retain it longer. 

Your rights 

You have the right to: 

  • Access the personal information we hold about you 
  • Correct any inaccurate or incomplete information 
  • Withdraw from the early access program at any time (note: some historical data may be retained in de-identified form for analytics purposes) 
  • Request deletion of your information, subject to any legal retention requirements 
  • Complain if you believe we have breached the Australian Privacy Principles or New Zealand Privacy Principles

How to make a complaint 

If you have concerns about how we have handled your personal information, please contact our Privacy Officer using the details above. We will: 

  1. Acknowledge your complaint within 7 days 
  2. Investigate and respond within 30 days 
  3. Work with you to resolve the matter 

If you are not satisfied with our response, you may lodge a complaint with:

Participation is voluntary 

Your participation in this early access program is completely voluntary. You may withdraw at any time by emailing mobileappsupport@fitnesspassport.com.au or uninstalling the beta app. 

By proceeding with the early access program, you acknowledge that you have read and understood this Privacy Collection Notice.
